Job Description
Admissions Secretary – Responsible for assisting with the admissions procedure for students to the school.
Welcome and provide new parents and students with a positive first impression of the School by presenting school curriculum and achievements. Organize and manage the admissions procedures of students and maintain records and files of all current and prospective students.
- Embrace and encourage the ethos and standards of excellence as defined in the GEMS Core Values.
- Versed in rules and regulations of the Ministry of Education and ensures compliance during admission process.
- Work closely with Arabic Secretary to ensure all Transfer Certificates received for new students meet the requirements of the Ministry of Education and are processed in a timely manner to meet MOE deadlines.
- Meet with prospective parents; explain admission procedures, curriculum, fees structures and MOE regulations. Provide assistance to ensure all admissions documentation is completed effectively.
- Respond to all enrolment inquiries, telephone calls and email, courteously and in a timely manner.
- Assist current students with Visa, Verification of Enrolment and other letters as requested.
- Prepare reports for the School Principal/CEO and the Corporate Office of current enrolments, waiting lists and the status of vacant seats. In addition, provide statistical reports on students (nationalities, age, gender, etc) as required.
- Update, maintain and manage the student information on the school database ensuring that up to date information is available on a daily basis. Maintain communication with other GEMS schools Registrars in a similar target market and ensure that prospective parents are steered to an alternative school if chosen school is currently at full capacity.
- Assist in preparing all Exit documentation for students withdrawing from the school (Transcripts, Transfer Certificates, etc.).
- Maintain and create files for all new applicants, new students, current students, exiting students and alumni’s.
- Ensure the GEMS policies, procedures, and codes of conduct are followed at all times.
- Initiate efforts and energy beyond the typical work day, where the tasks require additional commitment.
- Attend staff meetings and serve on committees as required.
Perform other duties as requested by direct & dotted reporting line managers / supervisors.

Qualifications / knowledge:
College Degree preferred
Skills:
Excellent written/spoken English language skills
Effective interpersonal skills to aid in daily contact with a diverse multi-cultural population. Must have excellent computer skills (Word, Excel, Powerpoint).
Experience:
A minimum of two (2) years’ in a customer focused role.
