Job Purpose:
To serve as the first point of contact for patients and visitors, providing exceptional administrative and coordination services. This role is pivotal in creating a positive patient experience by ensuring smooth registration, efficient scheduling, and seamless communication between patients, clinical staff, and hospital departments.
Key Responsibilities:
Patient Reception & Registration: Greet patients and visitors warmly, register new patients accurately in the Hospital Information System (HIS), verify and update demographic and insurance information.
Appointment Scheduling: Manage appointment bookings, confirmations, rescheduling, and cancellations for outpatient clinics via phone, email, and in-person.
Administrative Support: Prepare patient files, coordinate with nursing and medical staff, handle cashiering and billing inquiries, and manage patient documentation.
Communication Hub: Answer and direct phone calls professionally, respond to general inquiries, and provide clear information about hospital services, policies, and directions.
Coordination: Liaise with other departments (e.g., pharmacy, labs, billing) to facilitate patient flow and ensure a coordinated care experience.
Compliance & Confidentiality: Maintain strict confidentiality of all patient records and adhere to hospital policies, JCI standards, and UAE healthcare regulations.
Requirements
Education: Diploma or bachleors in Healthcare Administration, Business Administration, or related field is preferred.
Experience: Minimum of 1-2 years of experience in a customer-facing role, preferably within a healthcare setting (hospital, clinic, medical center) in the UAE. Experience with HIS/EMR systems is a strong advantage.
Skills:
Language: Fluency in English is mandatory. Proficiency in Arabic is a significant advantage.
Technical: Proficient in MS Office and hospital management software.
Interpersonal: Excellent communication, customer service, and problem-solving skills. Must be empathetic, patient, and professional under pressure.
Organizational: Strong multitasking ability with high attention to detail.
